This vacancy offers an entry-level opportunity in the public service for individuals who are organised, detail-oriented and interested in records management, document handling and office administration.

Minimum requirements

To apply for the Registry Clerk post, candidates must have:

  • National Senior Certificate / Grade 12
  • No experience required

Applicants with the following knowledge and skills will have an advantage:

  • Understanding of the central registry environment
  • Knowledge of records and document management
  • Familiarity with file plansmail procedures and courier service processes
  • Knowledge of the Promotion of Access to Information Act (PAIA)

Duties of the Registry Clerks

Successful candidates will be expected to perform a range of registry and administrative duties, including:

  • Providing registry counter services
  • Attending to client enquiries
  • Handling telephonic and other enquiries
  • Receiving, sorting, registering and dispatching mail
  • Distributing notices on registry-related matters
  • Managing postage and courier services
  • Opening and closing files according to the record classification system
  • Filing, storing, tracing and retrieving documents both electronically and manually
  • Providing administrative support to internal and external clients
  • Managing the receipt and distribution of documents
  • Receiving, verifying and registering invoices on the Reapatala System
  • Downloading or drawing Reapatala reports and filing them properly
  • Operating office machines linked to registry functions
  • Maintaining the franking machine register
  • Recording postage and updating registers daily

This role is ideal for applicants who are comfortable working with documents, handling official records and supporting office systems efficiently.
