Requirements

Duties and Responsibilities
Successful candidates will be responsible for a range of administrative and clerical duties within the workshop.
Administration of Job Cards
Duties will include:
- Registering and filing new job cards
- Following up on outstanding job cards
- Monitoring updates made to job cards
- Circulating information relating to job cards
- Handling queries and problems concerning job cards
General Clerical Support
The Administrative Clerks will also assist with general office administration, including:
- Assisting with the ordering of workshop materials and equipment
- Recording, organising, storing and capturing correspondence and information
- Retrieving documents and data when required
- Updating registers and statistics
- Making photocopies
- Distributing documents and packages to relevant stakeholders
Client Complaints and Enquiries
Successful candidates will assist with client complaints and queries by:
- Maintaining an active query register
- Responding to enquiries or referring them to the appropriate manager
- Following up on outstanding complaints and enquiries
- Providing feedback to clients
Meeting Coordination
The Administrative Clerks may also be required to support meetings by:
- Confirming the availability of stakeholders
- Arranging meetings
- Taking minutes during meetings
- Organising meeting logistics
- Preparing and distributing documents
Personnel and Financial Administration
Successful candidates will provide personnel and financial administration support to the sub-directorate.
Responsibilities will include:
- Capturing and updating expenditure
- Checking subsistence and travel claims before submitting them for approval
- Assisting with telephone accounts
- Handling petty cash for the component
