Requirements

Duties and Responsibilities

Responsibilities will include:

- Following up on outstanding job cards
- Monitoring updates and information recorded on job cards
- Circulating relevant job card information
- Handling queries and problems relating to job cards
General Clerical Support
Administrative Clerks will also assist with:
- Ordering workshop materials and equipment
- Recording, organising and storing information
- Capturing and retrieving correspondence and data
- Updating registers and statistics
- Making photocopies when required
- Distributing documents and packages to relevant stakeholders
Handling Client Complaints and Queries
Successful applicants will help ensure that enquiries and complaints are properly recorded and addressed.
Duties include:
- Maintaining an active query register
- Responding to enquiries where possible
- Referring enquiries to the appropriate manager
- Following up on outstanding complaints and queries
- Providing feedback to clients
Meeting and Stakeholder Administration
The Administrative Clerks will assist with meetings by:
- Confirming the availability of relevant stakeholders
- Arranging meetings
- Taking minutes during meetings
- Organising meeting logistics
- Preparing and distributing documents as instructed
Financial and Personnel Administration Support
Candidates will also provide administrative support to the sub-directorate by:
- Capturing and updating expenditure information
- Checking the correctness of subsistence and travel claims
- Submitting claims to the manager for approval
- Handling telephone accounts
- Assisting with petty cash administration for the component
