The Office of the Chief Justice is hiring a Data Capturer at the Gauteng Division of the High Court in Pretoria. This entry-level government vacancy is suitable for applicants who have completed Grade 12 and are interested in data capturing, administration and court-support services.

Pre-Entry Practical Assessment

Shortlisted candidates will be required to complete a pre-entry practical exercise. The assessment will help the Office of the Chief Justice determine whether candidates meet the technical and general requirements of the position.

All shortlisted candidates, including Senior Management Service candidates where applicable, may also be required to complete two pre-entry assessments.

Duties and Responsibilities

The appointed Data Capturer will be responsible for capturing, reviewing and maintaining court and administrative information.

Key duties will include:

Data Capturing and Verification

  • Capture information from available records into databases, tables and spreadsheets
  • Review and validate information captured from records and files
  • Identify missing information and errors during the data-entry process
  • Correct or report data discrepancies
  • Submit captured information to the relevant components
  • Make regular backups of captured data
  • Maintain accurate registers and statistics
  • Sort and distribute incoming information equally for capturing

Records and File Management

  • Open, organise and update files
  • Maintain records and filing systems
  • Ensure records and files are correctly sorted and secured
  • Keep court records and documents safe while they are being captured
  • Scan and save documents when requested
  • Provide information to responsible officials and components
  • Send and receive emails when required

Court Recording and Case Administration

  • Capture court rolls from court lists and court books
  • Pre-schedule cases before court proceedings begin
  • Record court proceedings according to court appearances
  • Add relevant annotations for each case type during a court session
  • Search for postponed cases and add later recording sessions to the correct locations
  • Transfer court recordings to the site server at 15-minute intervals
  • Ensure court recordings and case information are properly stored

Equipment and Technical Support

  • Check courtroom machines and microphones
  • Conduct basic fault diagnosis on court recording technology machines
  • Report equipment faults identified during the diagnostic process
  • Log technical queries with the IT helpdesk
  • Report all IT-related problems to the supervisor immediately
