Minimum Requirements

Applicants must have:

  • Grade 12, NQF Level 4, or an equivalent qualification
  • No previous experience required

Key Duties and Responsibilities

The successful candidates will provide secretarial, receptionist, and office support services to the Director and the unit.

Duties include:

  • Receiving telephone calls and referring them to the correct role players where necessary
  • Recording appointments, events, and diary entries
  • Typing documents for the Director and other staff members
  • Operating office equipment such as fax machines, scanners, and photocopiers
  • Assisting with travel arrangements through travel agencies
  • Checking travel-related documents and arrangements
  • Arranging meetings and events for the Director and staff in the unit
  • Identifying venues, inviting relevant role players, organising refreshments, and setting up meeting venues
  • Processing travel and subsistence claims for the Director
  • Processing invoices related to the work of the Director’s office
  • Recording basic minutes during meetings when required
  • Drafting routine correspondence and reports
  • Filing documents manually and electronically
  • Managing leave registers, telephone accounts, and attendance registers
  • Receiving, recording, and distributing incoming and outgoing documents
  • Handling procurement of standard office items such as refreshments
  • Collecting relevant documents to help the Director prepare for meetings
  • Preparing briefing notes for the Director when required
  • Maintaining an electronic document management database
  • Staying updated on public service and departmental policies, procedures, and prescripts
