Minimum Requirements
Applicants must meet the following criteria:
- Grade 12 (NQF Level 4) or equivalent qualification
- No prior work experience required
- Knowledge of clerical duties and office procedures
- Ability to manage office assets, stationery, and procurement tasks
- Computer literacy, especially MS Office packages
- Good telephone etiquette and ability to work under pressure
- Strong communication and interpersonal skills
- Good time management and organisational skills
- Must be presentable, reliable, punctual, adaptable, and resourceful
Key Responsibilities
The successful candidates will be responsible for:
- Providing efficient secretarial and administrative support to the Director
- Taking minutes during meetings and preparing meeting documents
- Typing and formatting documents such as agendas, letters, reports, and memos
- Managing the Director’s diary, appointments, and correspondence
- Handling telephone calls, screening, and taking messages
- Arranging meetings, travel bookings, accommodation, and transport
- Welcoming visitors and managing entry authorisations
- Ensuring agendas and minutes are delivered on time
- Maintaining records, files, and personal information
- Monitoring and reminding the Director of meetings and deadlines
- Keeping the office organised and maintaining inventory records
- Receiving, registering, routing, and filing correspondence
- Managing procurement of office supplies and office requirements
