Minimum Requirements
Applicants must have:
- Grade 10 or an equivalent qualification
- Knowledge of the Education Department Service Delivery Charter and Batho Pele Principles
- Written and verbal communication skills in at least two official languages of the Western Cape
- The ability to operate a strapping machine
- The ability to use a staple gun
- The ability to operate photocopy and fax machines
- Basic numerical skills for working with examination scripts and marksheets
Candidates should also be willing and physically able to pack, lift, load, offload and transport boxes containing examination materials.
Duties and Responsibilities
Successful applicants will provide general operational and logistical support to the Provincial Printing Directorate.
Responsibilities will include:
Handling Question Papers
- Transporting question papers from the print room to Head Office
- Packing question papers into boxes
- Sealing, strapping, weighing and labelling boxes
- Preparing boxes for dispatch
- Making photocopies of question papers
- Loading, offloading and storing examination materials
- Cleaning strong rooms and removing old examination papers
Sorting Scripts and Marksheets
- Sorting question papers, scripts and marksheets by subject and examination centre
- Packing question papers and marksheets in the correct centre order
- Preparing scripts for scanning and marking
- Arranging question papers according to official lists
- Packing examination materials according to sessions
- Boxing and filing processed or queried scripts
Receiving and Distributing Examination Materials
- Receiving consignments from couriers and individuals
- Opening consignments containing scripts and marksheets
- Separating and filing seating plans, medical certificates and correspondence
- Preparing envelopes, waybills and batches for Education Management and Development Centres
- Assisting with the distribution of question papers, stationery and marksheets
- Dispatching marksheets to curriculum advisers
Supporting Examination Marking
- Preparing marking venues
- Unpacking scripts for marking
- Assisting with the distribution of question papers and memoranda
- Drawing sample scripts for moderation
- Assisting with loose or unmarked scripts
- Boxing captured scripts according to subject
- Transporting scripts and equipment to marking centres and home markers
- Helping with marking-centre clean-up and the return of equipment
General Administrative Support
- Filing attendance registers, checklists and waybills
- Assisting with stocktaking
- Preparing and labelling boxes
- Distributing circulars and training manuals
- Assisting with certificates and attendance registers
- Supporting training for markers, moderators, invigilators and centre managers
- Reporting to supervisors daily
The role may also involve working with specialised examination materials, including CAT, IT, IEB, LSEN and Braille scripts.
Salary
The salary for the General Assistant position is:
R144 024 per annum at Salary Level 02.
