About Umalusi
Umalusi is the Quality Council for General and Further Education and Training in South Africa. The organisation is responsible for quality assurance in the education and training sector, including the evaluation and accreditation of institutions and programmes.
This role forms part of the Evaluation and Accreditation department, where the appointed candidate will provide important administrative support to ensure the smooth running of the sub-unit’s activities.
Key Duties and Responsibilities
The Administrative Assistant will be responsible for supporting the planning and coordination of workshops, user training sessions, projects, meetings, and other sub-unit activities.
Main duties include:
- Supporting the implementation of the sub-unit’s operational plan.
- Assisting with contract staff management, audit tracking, and quality assurance administration.
- Managing logistical arrangements for meetings, workshops, training, and projects.
- Preparing travel arrangements, including flights, accommodation, and car hire.
- Liaising with travel agencies according to applicable policies.
- Processing claims and liaising with the finance unit.
- Photocopying, emailing, and preparing meeting documents.
- Managing incoming and outgoing mail.
- Drafting submissions, letters, memoranda, and other documents for management approval.
- Tracking budgets for sub-unit activities.
- Managing databases for E&A contract staff and clients.
- Taking minutes during meetings, typing them, and distributing them to relevant parties.
- Maintaining electronic and hard-copy filing systems according to the file plan.
- Managing document flow in and out of the sub-unit office.
- Keeping registers updated, including mail, leave, submissions, and movement registers.
- Screening telephone calls and recording messages.
Minimum Requirements
Applicants must have one of the following qualifications:
- National Senior Certificate, or
- NC(V) Level 4, or
- NSC Colleges, or
- Senior Certificate, or
- Senior Certificate Amended, or
- Equivalent NQF Level 4 certificate with language subjects.
Required Skills
Candidates should have:
- Good written and verbal communication skills.
- Strong computer skills, especially Microsoft Office and Microsoft Teams.
- Knowledge of basic office management principles and practices.
- Ability to plan and organise projects, seminars, workshops, and meetings.
- Ability to work independently.
- Ability to work well in a team.
Added Advantage
The following will strengthen your application:
- Experience as an office administrator in an educational environment.
- At least 2 years of general office administration experience, preferably in an educational environment.
