Registry Clerk Duties and Responsibilities
The successful candidate will be responsible for managing registry operations and helping the directorate achieve its planned administrative outcomes.
Key responsibilities will include:
Provide Registry Counter Services
- Attend to clients visiting the registry
- Respond to telephone calls and other enquiries
- Receive and register hand-delivered mail and files
- Assist clients with registry-related enquiries
Handle Incoming and Outgoing Correspondence
- Receive incoming mail and correspondence
- Sort and register mail
- Dispatch outgoing correspondence
- Distribute notices relating to registry matters
- Ensure documents reach the correct officials or departments
Provide Filing and Records Management Services
- Open and close files according to the approved records classification system
- File and store documents correctly
- Trace documents and files electronically or manually
- Retrieve documents and files when required
- Maintain an organised and accurate filing system
Operate Registry Office Equipment
The Registry Clerk will be expected to operate office machines and equipment used in the registry environment.
This may include equipment used for:
- Electronic scanning
- Copying documents
- Processing correspondence
- Capturing and storing records
Prepare Documents for Archiving and Disposal
- Process documents for archiving or disposal
- Scan files electronically
- Sort and package files for archiving and distribution
- Compile lists of documents that must be archived
- Submit archive lists to the supervisor
- Maintain accurate records of archived documents
