Minimum Requirements

Applicants must meet the following requirements:

  • Grade 12 certificate, National Senior Certificate, or NQF Level 4 qualification
  • Minimum of 1 year experience as a secretary in a hospital environment will be an added advantage
  • Computer literacy, especially Microsoft Office Suite
  • Proficient Microsoft Office users may be required to complete a test
  • Excellent verbal and written communication skills
  • Good interpersonal relations
  • Reliable, punctual, and professional
  • Good telephone etiquette
  • Ability to prioritise work and pay attention to detail
  • Ability to handle a variety of administrative tasks
  • Knowledge of Public Service Acts and Regulations
  • Knowledge and application of Batho Pele Principles
  • Ability to relieve staff in the CEO and Clinical Manager’s office
  • Willingness to work extended hours when required

Key Duties and Responsibilities

The successful candidate will be responsible for providing secretarial and administrative support within the Nursing Directorate.

Duties include:

  • Compile and align staff establishment information with the Human Resource Department
  • Provide administrative support for staff enquiries relating to employees reporting directly to Nursing Management
  • Arrange meetings and take minutes
  • Perform office administration and general clerical duties
  • Compile and prepare the allocation list for the nursing department
  • Coordinate the after-hours roster monthly
  • Manage the electronic document tracking system
  • Manage the diary of the Nursing Service Manager
  • Type documents, reports, letters, and correspondence
  • Maintain effective records management and filing systems
  • Keep records of annual South African Nursing Council certificates for all nurses
  • Ensure effective use of office resources and consumables
  • Relieve the Admin Clerk in the Nursing Management Office when required
