Purpose of the Position
The Data Capturer plays a crucial role in the smooth operation of the healthcare facility by supporting the M&E specialist in capturing and consolidating facility and partner data. This individual is responsible for compiling weekly, monthly, and quarterly reports that ensure accurate data collection, storage, and presentation for program analysis and decision-making. The ideal candidate will have a keen eye for detail and a commitment to accuracy, ensuring that the facility operates with the best possible information to inform public health decisions.
Key Responsibilities
The Data Capturer’s primary role is to manage facility-level data and ensure it is properly captured and structured. Below are the key responsibilities associated with this position:
- Capturing and Consolidating Facility Data
The Data Capturer will gather facility data from multiple sources and ensure it is captured accurately and on time. This includes consolidating data received on a weekly, monthly, and quarterly basis.
- Updating and Formatting Databases
Once data is captured, the Data Capturer must update various databases with the information. It is essential that the data is structured and formatted correctly to meet reporting standards.
- Ensuring Timely Data Submission
The Data Capturer will manage a register that tracks who is responsible for submitting data at each facility. They will also be responsible for notifying the M&E specialist and other relevant staff members if data submissions are delayed.
- Filing and Administrative Support
In addition to data capturing, the role requires some administrative tasks such as filing documents and maintaining records related to data submissions. This helps ensure that the clinic has an organized system for managing its data.
- Interfacing with the Department of Health (DoH) and Project Staff
The Data Capturer will frequently interact with DoH and other project team members to capture subject-related information. This collaborative approach ensures that project objectives are met efficiently.
- Collaboration and Coordination
To effectively fulfill the role, the Data Capturer must collaborate with colleagues, project managers, and external partners. Coordinating activities and exchanging data updates ensure smooth project implementation and better healthcare service delivery.
Minimum Requirements

Grade 12 Qualification
Applicants must have completed their Grade 12 (Matric) as a minimum educational requirement.
Tertiary Qualification (Advantageous)

TIER.Net Software Experience
Candidates who have previous experience with TIER.Net software for data capturing and reporting will be highly preferred. This software is crucial in managing HIV/AIDS program data and ensuring accurate health information flow.
Strong HIV/AIDS Knowledge
Familiarity with HIV/AIDS-related data is important as this forms part of the facility’s ongoing monitoring and reporting efforts.
Experience with DoH Data/M&E Systems
Candidates should have at least two years of experience working with the Department of Health’s data or monitoring and evaluation systems, from patient-record level to District Health Information System (DHIS) level.
Data Collection and Capturing Experience
Experience in data collection and capturing, especially within the public health sector, is an advantage. Candidates with this experience will be familiar with the specific challenges and requirements of public health data management.
Public Health Sector Familiarity
Familiarity with the South African public health sector and the District Health System will be beneficial for this role.
MS Office Proficiency
Strong Microsoft Office skills, particularly in Excel, are required to ensure efficient data handling and reporting.
Language Skills
While fluency in English is essential, the ability to communicate in isiXhosa will be considered an advantage.
Clear Criminal Record
