This vacancy may be suitable for matriculants interested in document administration, data capturing, filing, scanning and government records management.

Duties and Responsibilities

The successful candidate will be responsible for processing, maintaining, scanning, capturing and archiving cadastral documents.

Process Cadastral Documents

  • Receive and register diagrams, general plans, sectional titles and survey records.
  • Reproduce cadastral documents for registration copies.
  • Assist with the administration of cadastral records and documents.

Maintain Document Vaults

  • Prepare dummy trips and mark-out boards for document vaults.
  • Replace worn-out hanging strips.
  • Assist with repairing damaged documents.
  • Ensure that extracted documents are properly recorded and tracked.

Provide Cadastral Information

  • Retrieve and deliver documents requested by staff working at public counters.
  • Provide cadastral information to internal and external clients.
  • Assist clients who require access to cadastral records and information.

Capture Cadastral Data

  • Capture alpha-numeric information from cadastral documents into the departmental database.
  • Correct captured errors or omissions when requested.
  • Ensure that all captured information is accurate and complete.

Scan Cadastral Documents

  • Scan newly approved cadastral documents.
  • Attend to requests for rescans and missing images.
  • Assist with projects requested by the Client Service Centre and other divisions.

Archive Cadastral Records

  • Prepare and file documents in their correct document vaults.
  • Conduct random checks on filing systems and document conditions.
  • Archive newly approved cadastral documents.
  • Refile old documents in their correct locations.
  • Insert mark-out boards and dummy trips where documents have been removed.
