About the Volvo Warehouse Assistant Role

The Warehouse Assistant will play a key role in delivering excellent service to customers while ensuring that the warehouse runs smoothly and efficiently. This role focuses on supporting various warehouse functions, including receiving, storing, picking, packing, and dispatching parts, while following Volvo’s strict procedures and standards.

You will work closely with the Parts Controller and other team members to ensure that customers receive their parts on time and in perfect condition. This position is ideal for someone who is organized, detail-oriented, and passionate about delivering quality service.


Key Responsibilities

Receiving / Inbound Duties

  • Ensure all incoming goods are received according to Volvo’s standard procedures.
  • Verify that parts match the delivery documentation accurately and are received within set timeframes.
  • Record any discrepancies in the GDS system and document details like part numbers and descriptions.
  • Store parts in the correct bins according to system allocations.

Outbound / Dispatch Duties

  • Process customer orders quickly and accurately.
  • Pick, pack, and distribute parts following Volvo procedures.
  • Ensure the correct parts and quantities are dispatched as per the invoice.
  • Provide fast and efficient support to workshop technicians by delivering ordered parts promptly.

Credit Notes Handling

  • Check and sign off all credit notes before processing.
  • File and store credit notes correctly and in sequence.
  • Follow proper procedures when processing credits — for example, electrical parts cannot be returned.

Stock Control

  • Conduct daily perpetual stock counts to ensure accuracy.
  • Investigate any stock discrepancies thoroughly before making system adjustments.
  • Ensure all stock updates are authorized before finalizing.

Housekeeping

  • Keep the warehouse clean and organized at all times.
  • Ensure all parts are stored correctly and safely.
  • Remove waste regularly and secure the warehouse perimeter.

Exchange Parts

  • Make sure exchange parts from customers meet Volvo’s quality standards.
  • Handle the receiving, storage, packing, and labeling of core parts for return to the PDC (Parts Distribution Centre).

Health and Safety

  • Follow all Volvo health and safety procedures.
  • Ensure that everyone in the warehouse works in a safe and compliant environment.

Qualifications and Experience Required

To be considered for this position, you must meet the following requirements:

  • Grade 12 (Matric) is essential.
  • diploma in warehouse management or at least three years of warehouse experience.

  • Excellent communication and interpersonal skills.
