  • Receive, sort, register and dispatch incoming and outgoing mail
  • Register and process hand-delivered files and documents
  • Distribute notices related to registry matters
  • Frank outgoing mail and maintain the franking machine register
  • Ensure no personal mail is included in official post

File and Records Administration

  • Open and close files according to the record classification system
  • File, store, trace and retrieve documents electronically or manually
  • Complete index cards for file tracking
  • Maintain records for closed documents
  • Scan files electronically and organise them for storage

Registry Compliance and Control

  • Maintain registers for valuable articles and remittances
  • Record and hand over remittances to the finance section
  • Send incorrect remittances back to the sender via registered mail
  • Conduct spot checks to ensure compliance with registry procedures

Records Management Support

  • Sort and package files for storage and distribution
  • Compile lists of documents scheduled for disposal
  • Maintain daily records of letters processed and franked
  • Ensure confidentiality, privacy, and security of documents in accordance with information security policies
