REQUIREMENTS:
- A Senior Certificate/Grade 12.
Knowledge:
- Office administration,
- Rea patala,
- Public Finance Management Act (PFMA),
- Treasury Regulations,
- Financial management and administration,
- State budgetary systems,
- Financial systems,
- Archibus and Logis.
Skills:
- Numeracy, accounting, organising, interpersonal skills, diplomacy, ability to follow a pro-active and creative problem, solving approach, communication, computer literacy.
Personal Attributes:
- Ability to work under stressful situations, hardworking, and team player.
DUTIES:
- Address enquiries or refer them to the necessary manager.
- Follow up on outstanding complaints and queries, ensure resolutions of meetings are addressed within established timeframes and administer the Archibus System.
- Update and maintain electronic and physical records for procurement instructions.
- Furnish information for reports to internal and external stakeholders.
- Record, organise, store, capture, update and retrieve correspondence and data.
- Make photocopies and receive or send facsimiles, distribute documents/packages to various stakeholders as required, keep and maintain the filing system for the component.
- Obtain quotations, complete procurement forms for the purchasing of standard office items.
- Stock control of office stationery.
- Keep and maintain the asset register of the component.
- Assist with ordering of material and equipment from suppliers.
- Capture and update expenditure in component.
- Check correctness of subsistence and travel claims of officials and submit to manager for approval.
- Handle telephone accounts and petty cash for the component.
- Arrange travelling and accommodation.
- Distribute personnel pay slips and ensure that a payroll certificate has been signed and submitted to HR.
- Maintain a leave register for the component.
- Plan the diary for the sub-directorate.
- Book a meeting venue, arrange meetings and confirm attendance with stakeholders.
- Take minutes and distribute to meeting attendees.
- Assist with procurement of a service provider for catering where required.
