Minimum Requirements
Applicants must be in possession of a Grade 12 Certificate.

Duties and Responsibilities
The successful candidate will provide secretarial, receptionist and administrative support to the Director and staff within the unit.
Reception and Telephone Support
The Secretary / Office Assistant will:
- Receive telephone calls.
- Direct calls to the appropriate officials where necessary.
- Assist visitors and stakeholders professionally.
- Provide general receptionist support to the Director.
Diary and Appointment Management
Responsibilities will include:
- Recording appointments and events in the Director’s diary.
- Keeping track of meetings and important engagements.
- Ensuring that the Director has all relevant documents before meetings.
General Office Administration
The successful candidate will also:
- Type documents for the Director and other staff members.
- Operate office equipment such as computers and photocopiers.
- Provide clerical support to the Senior Manager.
- Draft routine correspondence and reports.
- File documents for the Director and the unit.
- Maintain administrative records.
- Administer leave registers and telephone accounts.
- Receive, record and distribute incoming and outgoing documents.
Meeting and Event Coordination
The Secretary / Office Assistant will help coordinate meetings and events by:
- Arranging meetings for the Director and unit staff.
- Identifying appropriate venues.
- Inviting relevant participants.
- Organising refreshments where required.
- Preparing meeting and event schedules.
- Recording basic minutes of meetings when required.
Travel Arrangements and Claims
The successful candidate will:
- Liaise with travel agencies to make official travel arrangements.
- Check travel arrangements once documents are received.
- Process travel and subsistence claims for the unit.
- Process invoices relating to activities of the Director’s office.
Procurement and Office Support
Additional responsibilities include:
- Procuring standard office items such as stationery.
- Arranging refreshments when required.
- Collecting relevant documents for the Director before meetings.
- Ensuring the Director’s office operates efficiently.
Policies and Procedures
The successful candidate will be expected to remain familiar with relevant public service and departmental policies, procedures and prescripts.
This includes:
- Studying relevant departmental policies and procedures.
- Understanding administrative procedures applicable to the office.
- Keeping up to date with processes affecting the Senior Manager’s office.
- Applying public service procedures correctly and consistently.
