Duties and Responsibilities
The successful Administration Clerk will provide general clerical and administrative support to the Legal Support Directorate.
Key responsibilities will include:
General Clerical Support
- Record, organise, store, capture and retrieve correspondence and information
- Update registers and statistics
- Handle routine enquiries
- Make photocopies and send or receive documents
- Distribute documents and packages to relevant stakeholders
- Maintain the filing system for the component
- Type letters and other correspondence when required
- Maintain incoming and outgoing document registers
- Take and draft meeting minutes
Supply Chain and Procurement Support
The Administration Clerk will also provide supply chain clerical support, including:
- Liaising with internal and external stakeholders regarding the procurement of goods and services
- Obtaining quotations
- Completing procurement forms for standard office purchases
- Managing and controlling office stationery
- Maintaining the component’s asset register
Personnel Administration Support
Responsibilities related to staff administration will include:
- Maintaining the leave register
- Keeping personnel records up to date
- Maintaining the attendance register
- Arranging official travel and accommodation
Financial Administration Support
The successful applicant will assist with financial administration by:
- Capturing and updating expenditure records
- Checking subsistence and travel claims for accuracy
- Submitting claims to the relevant manager for approval
- Handling telephone accounts
- Assisting with petty cash administration
