Key Responsibilities

The Administration Clerk will support regulatory and administrative functions related to the implementation of the Animal Improvement Act, 1998.

Main duties include:

Administrative Support

  • Maintain an efficient filing and document management system
  • Handle incoming and outgoing correspondence registers
  • Respond to internal and external enquiries
  • Maintain the Sub-Directorate’s central database

Data and Records Management

  • Update and manage electronic filing systems
  • Capture and maintain operational statistics
  • Manage files, records and databases according to departmental procedures

Reporting and Documentation

  • Prepare monthly, quarterly, and annual reports
  • Maintain records related to animal improvement regulatory functions

Application Processing

  • Evaluate and process applications for reproduction operators
  • Register new applications and maintain operator databases
  • Issue registration certificates and confirmation letters

Compliance and Monitoring Support

  • Assist with compliance assessments
  • Maintain evidence portfolios including:
    • Sterilisation certificates
    • Pedigree information
    • Import and export documentation
    • Proof of payment for administration fees
    • Operator certification records

Client Liaison

  • Provide support and information to breeders, farmers, and members of the public
  • Communicate via telephone, email, and in-person consultations
  • Offer guidance on regulations related to animal improvement services
