Key Responsibilities
The Administration Clerk will support regulatory and administrative functions related to the implementation of the Animal Improvement Act, 1998.
Main duties include:
Administrative Support
- Maintain an efficient filing and document management system
- Handle incoming and outgoing correspondence registers
- Respond to internal and external enquiries
- Maintain the Sub-Directorate’s central database
Data and Records Management
- Update and manage electronic filing systems
- Capture and maintain operational statistics
- Manage files, records and databases according to departmental procedures
Reporting and Documentation
- Prepare monthly, quarterly, and annual reports
- Maintain records related to animal improvement regulatory functions
Application Processing
- Evaluate and process applications for reproduction operators
- Register new applications and maintain operator databases
- Issue registration certificates and confirmation letters
Compliance and Monitoring Support
- Assist with compliance assessments
- Maintain evidence portfolios including:
- Sterilisation certificates
- Pedigree information
- Import and export documentation
- Proof of payment for administration fees
- Operator certification records
Client Liaison
- Provide support and information to breeders, farmers, and members of the public
- Communicate via telephone, email, and in-person consultations
- Offer guidance on regulations related to animal improvement services
