- Diploma or Degree (NQF Level 6) in Records Management or Public Management
- Experience in supply chain management or registry services
- Valid driver’s licence
Skills and Knowledge
Candidates should have:
- Understanding of Supply Chain Management (SCM) procedures and processes
- Knowledge of registry duties and records management practices
- Ability to capture data and operate computer systems
- Knowledge of the Public Service legislative framework
- Understanding of storage and document retrieval systems
- Good written and verbal communication skills
- Basic report writing ability
- Computer literacy
- Ability to maintain confidentiality and handle sensitive documents
Key Responsibilities
The successful candidate will perform the following duties:
Registry and Client Services
- Provide registry counter services and assist clients
- Respond to telephonic and general enquiries
- Receive and register hand-delivered files and mail
Mail and Correspondence Management
- Receive, sort, register, and dispatch incoming and outgoing mail
- Distribute notices regarding registry matters
- Ensure proper documentation and tracking of correspondence
Filing and Records Management
- Open and close files according to the record classification system
- File, store, trace, and retrieve documents manually or electronically
- Complete index cards for file tracking
- Maintain accurate filing systems
Office Machine and Mail Processing
- Operate registry-related office equipment
- Maintain and update the franking machine register
- Record daily postage transactions
- Conduct spot checks to ensure no private mail is included
- Secure mail in postbags for delivery to the Post Office
Remittance and Document Tracking
- Maintain the remittance register for valuable items
- Hand deliver remittances to the finance section
- Return incorrect remittances via registered post
- Keep daily records of letters processed
Archiving and Document Disposal
- Scan and prepare files for electronic storage
- Package files for archives and distribution
- Compile lists of documents for archiving
- Maintain records of archived documents
