- Handling and processing group reservations and event inquiries via email and telephone
- Following up on provisional bookings and outstanding deposits to ensure timely processing
- Arranging and coordinating site inspections for group clients with the relevant managers, including conferences and functions teams
- Organizing pre-conference meetings to ensure a smooth and accurate handover to the operations team
- Actively promoting and introducing available packages and newly launched services
- Managing the overall event planning process while addressing daily inquiries and resolving complaints as they arise
- Promoting all activities and offerings available at the resort
General Responsibities as Group Coordinator
- Coordinate and manage group bookings, reservations, and event arrangements from inquiry to completion
- Act as the primary point of contact for group clients, ensuring clear communication and timely responses
- Liaise with internal departments such as reservations, sales, banqueting, and events to ensure seamless service delivery
- Prepare and maintain accurate booking records, contracts, schedules, and related documentation
- Monitor group room allocations, special requests, and event requirements to ensure all details are executed correctly
- Assist with planning and coordinating meetings, conferences, and group events
- Handle client inquiries, amendments, and cancellations in a professional and efficient manner
