What Is the Purpose of the Warehouse Assistant Role?

The main purpose of this role is to support the parts warehouse by delivering reliable service that meets Volvo’s high standards. Warehouse Assistants help ensure that the dealership follows the correct processes during planning, receiving goods, and delivering parts to customers and workshops.

This role reports directly to the Manager: Parts & Warehouse, and it plays an important role in customer satisfaction and operational success.


Receiving and Inbound Responsibilities

One of the key areas of this role is receiving stock correctly. Warehouse Assistants are responsible for making sure parts arrive safely and are recorded accurately. Duties include:

  • Ensuring all goods are received according to Volvo procedures
  • Checking parts against delivery documents and KPI time standards
  • Recording shortages, damages, or incorrect items on the system
  • Making sure parts are binned according to system allocations, not labels

Accuracy during receiving is very important, as mistakes at this stage can affect the entire operation.


Outbound and Customer Orders

Warehouse Assistants also handle outgoing parts. This involves working with customer orders and workshop requests. Key tasks include:

  • Picking and packing parts according to Volvo standards
  • Updating the system once authorization is received
  • Ensuring correct parts and quantities are dispatched
  • Supporting technicians by delivering parts quickly after orders are processed

This part of the role requires good time management and attention to detail, especially during busy periods.


Handling Credit Notes and Returned Parts

Another important responsibility is managing credit notes and returns. Warehouse Assistants must:

  • Check and sign off credit notes before processing
  • File credit notes correctly and in sequence
  • Follow strict rules when processing returns, such as not accepting electrical parts

This ensures stock records stay accurate and company policies are followed.


Stock Counts and Bin Verification

Stock control is a daily responsibility in the warehouse. Warehouse Assistants are expected to:

  • Perform daily perpetual stock counts
  • Investigate any stock differences thoroughly
  • Ensure all stock adjustments are approved before system updates

This helps prevent losses and keeps inventory accurate at all times.


Housekeeping and Warehouse Order

  • Making sure waste is removed on time
  • Keeping the warehouse perimeter secure

Minimum Qualifications and Experience Required

  • Matric / Grade 12
  • A diploma in warehouse management or at least three years of warehouse experience
