Vilama is looking applicants who would like to receive theoretical knowledge and practical skills with their CEO and Office Support Assistant Learnership. The Vilama CEO and Office Support Assistant Learnership involves providing comprehensive support to the Managing Director and the broader company team in daily office operations, with a particular focus on administrative and IT-related tasks. Participants will be expected to assist in maintaining the smooth and efficient functioning of the office environment by handling a variety of responsibilities, ranging from clerical duties to technical support.
In addition to general administrative support, the role includes involvement in key projects related to office management, marketing efforts, and strategic business operations. Learnership participants will contribute to initiatives that promote organizational effectiveness, ensuring that tasks and processes are executed promptly and in alignment with the directives of the CEO. You will be asked to perform the duties below:
- Manage the CEO’s calendar and oversee activities related to all VILAMA operations
- Monitor team progress in accordance with delegated authority and the VILAMA Head Office action plan
- Provide administrative support for projects and assist with recruitment initiatives, including open recruitment, headhunting, and cold calling
- Coordinate daily office operations, taking a proactive and responsive approach to assigned duties
- Assist with administrative tasks related to tender submissions pursued by VILAMA and its partners
- Prepare and reconcile activity logs and expense reports using the VILAMA Time Sheet
- Framework or other approved tracking tools
- Organize and maintain both paper and digital records related to company activities and ongoing projects
- Monitor IT support tickets across all VILAMA offices and ensure timely resolution as instructed
- Handle sensitive information, financial documents, and personal matters with the highest level of confidentiality
- Manage complex, multi-layered calendars and maintain a well-organized filing system for activity tracking
- Coordinate stakeholder meetings, manage business and personal commitments, and handle all forms of communication, including emails, meeting scheduling, conference calls, and appointments
- Ensure meeting agendas, objectives, and required preparations are communicated in advance to the CEO or any delegated representative
- Conduct research and compile materials for meetings or presentations as needed by the CEO or delegated personnel
- Arrange travel logistics and provide personal assistance when required
- Organize and support basic training sessions for VILAMA staff as guided by the CEO
- Generate all necessary reports and spreadsheets for the CEO, adhering to weekly and monthly deadlines
- Maintain attention to detail and consistently follow up on assigned tasks to ensure accurate and timely completion.
