Key Duties and Responsibilities
In this role, you will handle a wide range of administrative and coordination tasks to ensure seamless support to the executives. Your responsibilities will include:
- Managing complex calendars and meeting schedules, ensuring appointments and commitments are properly prioritised.
- Handling confidential information with professionalism, discretion, and integrity.
- Coordinating domestic and international travel arrangements, including booking flights, accommodation, transport, and preparing travel itineraries.
- Preparing and editing official documents, reports, letters, and presentations.
- Screening and prioritising calls, emails, and visitors, ensuring executives’ time is used effectively.
- Organising and maintaining filing systems (both electronic and physical) for quick and easy document retrieval.
- Taking meeting minutes and distributing them to the relevant teams.
- Assisting with event planning, logistics, and coordination when needed.
- Performing ad hoc administrative tasks and special projects assigned by senior management.

Minimum Qualifications and Requirements
To qualify for this position, you need to meet the following criteria:
- 8–15 years of proven experience as a Personal Assistant, Executive Assistant, or similar administrative role.
- Strong organisational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proven ability to handle confidential information with care and discretion.
- Experience in calendar management, meeting coordination, and travel planning.
- High level of attention to detail and ability to multi-task effectively.
- A Bachelor’s degree in Administration, Business, or a related field is preferred (but not mandatory).
- Relevant administrative certifications will be an advantage.
- Ability to work independently, adapt to changing priorities, and remain composed under pressure.
