Purpose of the Position
The Teaching and Learning Assistant plays a vital role in ensuring smooth operations within the academic environment. The position involves a mix of administration, event coordination, data management, and lecturer support. This role is perfect for someone who enjoys multitasking, working with people, and supporting the teaching and learning process.
Minimum Qualifications
To qualify, applicants must have:
- Minimum: NQF Level 5 (Higher Certificate in a relevant area).
- Advantageous: NQF Level 6 (Diploma in a relevant field).
Experience Needed
- Minimum: 2–3 years of administration experience.
- Advantageous: 1 year of administration experience in an educational institution.
Key Responsibilities
1. Administration
- Keep records of lecturer and student consultations.
- Upload peer review documentation and maintain trackers.
- Assist lecturers with resource packs, handbooks, and stationery.
- Handle orientation and student workshop administration.
- Compile agendas, take meeting minutes, and upload documentation daily.
- Manage timetables by sourcing lecturer availability.
- Provide weekly status reports on action items.
2. Event Planning and Coordination
- Liaise with stakeholders for event requirements.
- Gather quotes, process purchase orders, and manage vendors.
- Book venues, arrange catering, gifts, seating, and collateral.
- Host guests and outside visitors during events.
- Coordinate graduation arrangements including academic regalia and RSVPs.
- Ensure events stay within budget and meet required standards.
3. Data Handling
- Update student intervention, lecturer development, research, and moderation trackers.
- Capture lecturer marking progress and internal moderation documents.
- Assist with SETS administration (reports, links, and documentation).
- Ensure trackers are accurate and always up to date.
4. Part-Time Lecturer Administration
- Manage contractual processes of part-time lecturers.
- Print and process lecturer claims.
- Collect lecturer availability and distribute timetables.
- Maintain lecturer profiles and upload documents to the system.
- Ensure claims, contracts, and lecturer data are always current.
5. Teaching and Learning Resource Administration
- Order and issue stationery to lecturers.
- Track usage of additional stationery and resources.
- Check classroom readiness (equipment, seating, air conditioning, etc.).
- Report maintenance issues and ensure venues are suitable.
- Provide lecturers with the resources they need for effective teaching.
Competencies and Skills
Applicants should demonstrate:
- Strong administrative and organisational skills.
- Excellent communication skills (both written and verbal).
- Attention to detail and problem-solving ability.
- Teamwork and the ability to work under pressure.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
