Minimum Requirements

Applicants must meet the following requirements:

  • Grade 12 Certificate (NQF Level 4)
  • No previous work experience required

  • Knowledge of registry duties and practices
  • Understanding of data capturing and basic computer operations
  • Working knowledge of the Public Service legislative framework
  • Knowledge of storage, filing, and document retrieval procedures
  • Understanding of registry and records management processes

Key Responsibilities and Duties

The successful candidate will be responsible for providing comprehensive registry and records management services, including but not limited to:

  • Providing registry counter services and assisting clients
  • Handling telephonic, written, and walk-in enquiries
  • Receiving, registering, sorting, and dispatching incoming and outgoing mail
  • Managing hand-delivered mail and official correspondence
  • Distributing registry notices and internal communications
  • Opening, closing, and maintaining files in line with the record classification system
  • Filing, storing, tracing, and retrieving documents and files manually and electronically
  • Completing index cards and maintaining accurate filing records
  • Operating office equipment related to registry functions
  • Managing the franking machine, including daily record-keeping and spot checks
  • Ensuring secure handling and dispatch of mail to the Post Office
  • Maintaining remittance registers and recording valuable documents
  • Coordinating handover of remittances to the finance section
  • Processing documents for archiving and disposal
  • Electronic scanning, sorting, packaging, and archiving of files
  • Compiling archival lists and maintaining records of archived documents
