1. Registry Counter Services

  • Assisting clients at the registry counter
  • Handling telephone and written enquiries
  • Receiving and registering hand-delivered mail and files

2. Mail and Correspondence Management

  • Receiving, sorting, registering, and dispatching incoming and outgoing mail
  • Distributing registry-related notices
  • Ensuring proper control and tracking of correspondence

3. Filing and Records Management

  • Opening and closing files according to the approved classification system
  • Filing, storing, tracing, and retrieving documents (manual and electronic systems)
  • Completing index cards for all files
  • Maintaining accurate recordkeeping systems

4. Registry Equipment Operations

  • Operating and maintaining the franking machine register
  • Recording postage expenses and updating registers daily
  • Conducting spot checks to prevent inclusion of private mail
  • Managing remittance registers and handling valuable items
  • Delivering remittances to the finance section and maintaining proof of delivery

5. Archiving and Disposal

  • Scanning documents electronically
  • Sorting and packaging files for archiving
  • Compiling archive lists for supervisor approval
  • Maintaining accurate archived records
