Minimum Requirements
Applicants must meet one of the following criteria:
- Grade 12 certificate with five (5) years’ experience working as a secretary, or
- A Diploma or Degree in Secretarial Studies, Office Administration, Management Assistant or related qualification with three (3) years’ secretarial experience
Key Competencies and Skills
- Computer literacy in MS Word, Excel, PowerPoint and Outlook
- Strong verbal and written communication skills
- Excellent interpersonal skills
- Ability to work independently and within a team
- Proven ability to work under pressure and manage deadlines efficiently
Duties and Responsibilities
The successful candidate will be responsible for providing comprehensive administrative and secretarial support, including:
- Effective office and diary management
- Handling telephone calls, enquiries and correspondence
- Coordinating meetings and preparing required documentation
- Document management and professional typing services
- Capturing and managing student data, including marks, tests, clinical sessions and related activities
- Maintaining accurate records such as reports, leave plans and patient statistics for DHIS
- Minute-taking during departmental meetings and distribution of approved minutes
- Organising departmental events, venues and refreshments
- Maintaining paper-based and electronic filing systems
- Ordering and issuing office supplies
- Performing reception and general administrative duties as required
