What You’ll Be Doing

As an Office Assistant, your main duties will involve assisting with administrative tasks, maintaining accurate records, and offering support to both staff and students. Below are some of the key responsibilities you can expect:

  • Perform general office duties and follow workplace rules and procedures.
  • Work closely with internal and external stakeholders to ensure smooth communication.
  • Apply university policies, rules, and legislation correctly when handling administrative processes.

  • Assist in managing and filing student records — both digital and physical — according to official guidelines.
  • Respond quickly and politely to student and staff enquiries, ensuring excellent customer service.
  • Help manage the admissions inbox and respond to applicant queries.
  • Follow up on missing documentation by contacting applicants directly.
  • Guide applicants visiting on-campus application venues and assist them with login and application steps.
  • Retrieve documents and prepare proof of registrations when needed by auditors or departments.
  • Support the Graduation Department (AGC) during ceremonies and assist with additional ad hoc duties.

If you are placed within the International Section, you’ll have additional responsibilities such as:

  • Filing international student registration documents as required by the Department of Home Affairs.
  • Assisting as a liaison with Visa Facilitation CentresEmbassies, and Refugee Centres.
  • Helping verify and confirm student registration letters for international purposes.
  • Supporting international administrators in managing enquiries and daily tasks.

What You’ll Need to Qualify

To be considered for this position, applicants must meet the following minimum requirements:

  • Matric (Grade 12) or a related tertiary qualification.
  • At least 1 year of administrative experience — preferably in a higher education environment.

Recommended (advantageous but not required):

  • Familiarity with the Integrator Student Management System (ITS) will be a big advantage.
