Arbor Acres is now searching for candidates who would like a promising career in the agriculture department with a permanent position as an Admin Clerk. A vacancy has arisen at Arbor Acres for an Admin Clerk position within the administrative department. The organisation is seeking a motivated individual who possesses excellent administrative and organisational skills, along with hands-on knowledge and a solid understanding of workplace systems and processes.

You will be required to perform the duties below:

  • Manage general filing and record-keeping by collecting, organising, and validating all income and expenditure documentation
  • Compile weekly hatch reports using previously processed data and submit these reports to relevant departments and Head Office on both a daily and weekly basis
  • Assemble a weekly documentation pack for submission to Head Office, including but not limited to stock sheets, purchase requisitions, and delivery notes
  • Review and confirm the accuracy of operational documents such as set notifications, hatch settings, hatch forecasts, and delivery notices
  • Compile and verify the weekly water usage report to ensure accuracy and compliance
  • Coordinate and maintain routine monitoring documentation related to veterinary testing and hygiene sampling
  • Prepare and maintain the veterinary file to ensure all records are up to date for vet visits
  • Assist in maintaining the Health and Safety file in collaboration with relevant supervisors
  • Coordinate payroll and HR documentation by collecting, reviewing, and submitting required records to the Payroll and HR departments, including timesheets, leave forms, overtime approvals, staff change forms, and training registers
  • Manage the distribution of all payroll and HR-related communications and documentation
  • Update training materials as requested by management and support the facilitation of relevant staff training
  • Develop and issue task plans for departmental supervisors to ensure all required submissions are completed accurately and on time
  • Report all IT-related issues to the IT department and Head Office for resolution
  • Maintain and update the site asset register to ensure accurate tracking of company assets
  • Carry out additional operational and administrative duties as required from time to time.

General Duties as Admin Clerk

  • Perform general office administration tasks, including filing, data capturing, and record keeping
  • Handle incoming and outgoing correspondence such as emails, phone calls, and letters
  • Prepare, type, and format documents, reports, and spreadsheets
  • Maintain accurate records and update databases and filing systems regularly
  • Assist with scheduling appointments, meetings, and maintaining calendars
  • Receive, sort, and distribute mail and other office communications
  • Provide administrative support to management and other staff members as required
  • Capture invoices, process basic financial documents, and assist with administrative bookkeeping tasks
  • Ensure office supplies are monitored, ordered, and adequately stocked
  • Greet visitors and provide professional front-desk support when necessary
  • Maintain confidentiality of sensitive information and documents
  • Ensure compliance with company policies, procedures, and administrative standards
