DHET internal permanent employees who are successful will be seconded to the CoS Administrator post for the duration of the contract.
Job Purpose
The Centre of Specialisation (CoS) Administrator provides end-to-end administrative, coordination, and compliance support for Occupational Programmes under the Centre of Specialisation model. The role ensures effective programme delivery, learner administration, stakeholder coordination, funding compliance, reporting, and support for special initiatives such as WorldSkills competitions.
Minimum Requirements
- Grade 12 Certificate or NCV Level 4
- National Diploma (NQF Level 6) in:
- Public Administration
- Business Management
- Management Assistant
- Office Management
- or equivalent qualification
- 2–3 years’ relevant experience in a PSET administration environment
- At least 2 years relevant administrative experience
- Proficiency in MS Word, Excel, Outlook, and PowerPoint
- Valid driver’s licence
Skills & Competencies
- Knowledge of SETA structures, legislative and regulatory frameworks
- Understanding of Occupational Health & Safety (OHS) regulations
- Strong planning, organising, and analytical skills
- Excellent verbal and written communication, reporting, and presentation skills
- Ability to lead, mentor, and provide customer-focused support
- Professional, disciplined, proactive, and highly organised
- Experience in learner assessment support and lesson planning
Key Duties & Responsibilities
- Attend Campus PAADSC meetings
- Prepare CoS registration packs
- Enrol CoS apprentices with:
- Employers
- The College
- QCTO
- Capture learner attendance on the DHET portal
- Manage document control: printing, numbering, indexing, and filing
- Distribute learning materials
- Prepare and support facilitator and employer meetings
- Compile and submit reports to:
- SETA’s
- QCTO
- DHET
- Create and maintain electronic and manual filing systems
- Take, distribute, and manage:
- Meeting minutes
- Decision matrices
- Agendas
- Maintain accurate databases for:
- Learners
- Lecturers
- Assessors
- Moderators
- Workplace partners
- Support scheduling of:
- Classes
- Assessments
- Trade tests
- Workplace-Based Learning (WBL/WBE)
- Support WorldSkills activities at campus level
- Assist in planning occupational qualification delivery to ensure learner success
