African public universities through its key roles of advocacy, strategic research and sector
support services. Universities South Africa also encourages cooperation among universities

Pretoria. As a non-profit organisation, Universities South Africa is funded through
membership fees and revenues from contract management services and donor agencies.
Applications are invited for the position of Admin Officer: SWEEP. This position presents an
exceptional opportunity for qualifying professionals to join the Entrepreneurship
Development in Higher Education (EDHE) team at Universities South Africa and help it to
achieve its strategic objectives. This position is best suited to an ambitious person who
strives to be a part of a small, but dynamic team that executes on national scale.
Admin Officer: SWEEP (Student Women Economic Empowerment Programme)
Twelve (12) Months Contract
Remuneration package: Market-related salary package
The Admin Officer: SWEEP is responsible for administering, coordinating and supporting the
effective implementation of the Student Women Economic Empowerment Programme
(SWEEP) within the Entrepreneurship Development in Higher Education (EDHE)
Programme. The role supports national SWEEP objectives by coordinating programme
activities, capacity-building interventions, stakeholder engagements, events, monitoring,
evaluation and reporting, and compliance requirements.
REQUIREMENTS: Minimum: A bachelor’s degree in a relevant field (e.g. Business
Administration, Project Management, Development Studies, Education). Demonstrated
experience in project coordination in higher education or a related environment will be an
added advantage. • At least two years’ experience in administration and project coordination
Experience within higher education, entrepreneurship development programmes, donorfunded projects, and event coordination. Understanding of the South African higher
education system• Familiarity with procurement, donor compliance, and stakeholder
engagement • Knowledge of entrepreneurship development, with a focus on women-led
initiatives (advantageous) • Strong administrative and organisational skills • Project and
event coordination experience • Financial tracking and budget support skills • Excellent
written and verbal communication skills • Advanced computer literacy (MS Office, Adobe,
Smartsheet)

KEY RESPONSIBILITIES
(but not limited to): • SWEEP Programme Administration –
Administering the implementation of SWEEP activities across participating universities;
Support the planning and delivery of SWEEP capacity-building workshops, training sessions,
and stakeholder engagements; Coordinate SWEEP-related national and regional events,
including workshops, forums, and learning exchanges; Provide logistical and operational
support for SWEEP programme activities; Coordinate donor and partner-funded SWEEP
projects in line with approved plans; Monitor service provider and consultant deliverables
and support tranche payment processes • Event and project support – Support EDHE
flagship events linked to SWEEP objectives, including: Studentpreneurs Indaba and EDHE
Entrepreneurship Intervarsity; Coordinate venues, travel, accommodation, catering, and
event materials; Liaise with service providers to ensure quality delivery and compliance;
Liaise with service providers to ensure quality delivery and compliance • Budget
coordination, procurement and financial administration – Support budget planning, cost
centre allocation, and cash flow management for SWEEP-funded activities; Assist with
managing DHET/UCDP and donor-funded budgets related to SWEEP; Maintain accurate
financial and expenditure records for SWEEP projects; Support procurement processes,
including drafting procurement documentation, sourcing quotations, and coordinating
approvals; Participate in monthly expenditure and budget review meetings • Administration,
documentation and compliance – Manage SWEEP programme administration and recordkeeping; Maintain accurate and secure filing systems for contracts, implementation plans,
budgets, reports, and change requests; Ensure compliance with USAf, donor, and
institutional policies and procedures; Draft correspondence, memos, and official
communication to SWEEP stakeholders, partners, and service providers. Monitoring,
evaluation and reporting – Coordinate data collection for SWEEP activities, including
registrations, attendance, and feedback; Draft post-event and project reports aligned with
SWEEP reporting requirements; Contribute to EDHE progress reports for the USAf Board,
WSG, and donor steering committees; Track programme milestones and support monitoring
of outcomes against approved indicators • Stakeholder engagement and network support
Support engagement with university SWEEP coordinators and institutional partners;
Maintain stakeholder databases and contact lists relevant to SWEEP; Support relationship
management with donors, partners, and service providers • Office and team supportSupport office management, including inventory and supplier coordination; Provide guidance
and support to administrative staff and interns when required; Support onboarding and
induction of SWEEP-related staff, consultants, and interns; Support the Director’s Office and
stakeholder-related activities when required.
