Purpose of the Role

The Contract Administrator Forwarding is responsible for managing the administration of grain contracts by monitoring deliveries, reconciling tonnages, capturing transactions on the AGRIS system, and ensuring accurate invoicing to clients as well as timely payments to transport vendors. The role also supports traders, logistics operators, transporters, and silo operators to ensure grain movements are completed efficiently.

Key Responsibilities

Successful candidates will be expected to:

  • Monitor daily contract delivery movements using Daily Open Orders and Ticket Reports.
  • Capture grain deliveries for third-party silo transactions.
  • Reconcile loading and off-loading tonnages.
  • Match shipment loads for accurate invoicing.
  • Process direct delivery contracts.
  • Investigate and report contract delivery discrepancies.
  • Identify stock differences and initiate transporter or silo claims where necessary.
  • Balance and close sales contracts and inter-company contracts in AGRIS.
  • Extend contract delivery periods where required.
  • Resolve invoicing and transport-related queries within two working days.
  • Provide documentation for overdue customer accounts.
  • Monitor AGRIS system integrations and data accuracy.
  • Coordinate delivery schedules with traders and logistics operators.
  • Prepare AGRIS contracts using Deal Sheets.
  • Issue delivery instructions to logistics teams.
  • Ensure transport vouchers are processed in SAP within agreed payment terms.
  • Maintain accurate freight rates and Shipper ID information.
  • Ensure all records comply with company procedures and audit requirements.

Minimum Requirements

Applicants should have:

  • Grade 12 (Matric)
  • 2–5 years’ contract administration experience within the agricultural environment
  • Sound computer literacy, including Microsoft Office
  • Good written and verbal communication skills
  • Knowledge of agricultural grain trading and logistics
  • Understanding of the AGRIS system (advantageous)
