About the Role
The Admission Clerk will be based at Life Westville Hospital and will play an important role in the hospital’s front-line administration service. The role focuses on patient admissions, discharge processes, reception duties, medical aid authorisations, cash handling and general administrative support.
This position requires a candidate who is professional, accurate, calm under pressure and able to work well with patients, colleagues and medical aid providers.
Key Responsibilities
The successful candidate will be expected to:
- Carry out admission, discharge and reception duties according to hospital protocols.
- Liaise with medical aids to obtain authorisation for pre-admission or admission.
- Perform general administration linked to patient admissions, including coding, billing, finalising and submitting casualty files.
- Receive, receipt and handle cash accurately.
- Complete the drop safe register and ensure cash is dropped in the designated safes.
- Manage No-Auth screens daily to help with patient authorisation.
- Follow all pre-admission, admission and related hospital protocols.
- Work 12-hour shifts, including weekends, public holidays and night duty where required.
- Answer the hospital switchboard when needed.
- Collect co-payments, deductibles and private fees where applicable.
- Prepare estimates on the system for private patients according to group protocols.
- Follow up on unregistered babies with schemes to obtain admission authorisation.
- Clear rejection screens daily to help reduce financial risk.
- Perform daily banking duties.
- Understand and follow admission processes for COID or injury-on-duty patients.
- Complete any other tasks delegated by the line manager.
Minimum Requirements
Applicants must meet the following requirements:
- Minimum Grade 12 qualification.
- Computer literacy in MS Office, including Word, Excel, Outlook and PowerPoint.
- Experience in a healthcare environment.
- Customer service experience.
- Comprehensive knowledge of admission procedures.
- Ability to handle cash accurately.
- Basic understanding of financial principles.
- Excellent communication and interpersonal skills.
- Experience in dealing with customers.
- Ability to work under pressure.
- Ability to work as part of a team and independently.
- Availability to report to work at short notice when required.
Academic checks will be conducted to verify certificates and qualifications. ITC and criminal checks will also be performed on shortlisted candidates.
Advantageous Skills and Experience
The following will be an advantage:
- Working knowledge of Impilo, Imeds or related hospital admission systems.
- Understanding of the private healthcare industry and its role players.
- Knowledge of hospital procedures.
- Understanding of medical terminology.
- Previous experience in admissions, reception or patient administration.
