Job Description

  • Contract type: Full-time permanent position
  • Work hours: Monday to Friday, 8am to 5pm. Given the nature of the work required, work hours will need to be flexible but generally equate to 40 hours per week.
  • Remuneration: Subject to negotiation. Remuneration package commensurate with qualifications, experience, and SANCCOB’s remuneration model.
  • Starting Date: As soon as possible    

Context:

As SANCCOB advances its 2026 strategic objectives and strengthens its diversified income strategy, the organisation requires robust administrative, donor, and communications support to ensure operational excellence within the Resource Development portfolio.

The Resource Development Administrator plays a critical enabling role in supporting donor retention, acquisition, stewardship, and campaign execution. This position ensures that SANCCOB’s donor engagement processes are efficient, accurate, and aligned with strategic priorities, while maintaining the integrity of donor data and supporting high-quality communications across fundraising and marketing initiatives.

This role sits at the intersection of donor relations, database management, campaign coordination, and media support.

The Position:

To provide administrative, donor engagement, database, campaign, and media coordination support to the Resource Development team, ensuring effective donor stewardship, accurate reporting, and seamless execution of fundraising initiatives in line with SANCCOB’s strategic objectives.

Roles and Responsibilities

1. Stakeholder Communication and Resource Development Support:

  • Assist with communication to existing and prospective SANCCOB stakeholders to strengthen retention and scale current and new stakeholder support in line with strategic objectives.
  • Ensure the Resource Development system administration policies are in place and enforced.
  • Support the Resource Development team with administrative and operational tasks related to donor acquisition, retention, and stewardship.
  • Work collaboratively with the Resource Development team to design, plan, implement and attend campaigns and events.
  • Coordinate and facilitate stakeholder visits in collaboration with the Resource Development team, ensuring a professional and meaningful engagement experience.
  • Assist with preparation of reports, presentations, and other relevant materials.

2. Administration and Database Management:

  • Ensure all stakeholder-related data is accurately captured on DevMan in accordance with internal timelines.
  • Maintain and optimise the integrity, accuracy, and completeness of the DevMan database. This includes proactively updating records, contact details, engagement history, membership status and segmentation categories.
  • Generate reports from DevMan to support Resource Development tracking, stewardship, and performance reporting.
  • Ensure donor documentation, communication, and agreements are stored and maintained in line with SANCCOB’s requirements.
  • Support the tracking of campaign outcomes.
  • Effectively utilise the DevMan database to support meaningful and strategic engagement with stakeholders.
  • Ensure the accurate allocation and recording of income to support effective financial tracking and reporting and ensure the import of templates into DevMan.
  • Ensure the accurate recording of in-kind donations in accordance with SANCCOB’s internal processes and requirements.
  • Support with the issuing of letters of thanks, receipts, and Section 18A tax certificates promptly, in compliance with SARS regulations for Public Benefit Organisations and within established internal timelines.
  • Respond to stakeholder queries timeously, ensuring a professional and supportive experience.

3. Media Support:

  • Facilitate, plan, and oversee relevant filming at SANCCOB Table View, Cape Town, and at seabird colonies, ensuring stringent alignment with SANCCOB’s approved standards and protocols. This includes securing of relevant permits and communicating with relevant conservation management authorities.
  • Support the Resource Development Team with sourcing content and drafting monthly donor newsletters.
  • Support the Marketing and Media Coordinator with campaign-related content needs.
  • Assist with community management across SANCCOB’s social media platforms (responding to comments, engaging supporters, flagging opportunities, including with potential influencers/ambassadors).
  • Ensure content supports fundraising calls-to-action and donor engagement objectives.
  • Support the Marketing and Media Coordinator to monitor, collect, and analyse supporter engagement data across SANCCOB’s social  media platforms and identify opportunities for donor acquisition, engagement, and growth, and share relevant insights with the Resource Development team.

Qualifications and Requirements

  • Strong administrative and organisational skills.
  • High attention to detail, particularly in data management.
  • Policy driven and an enforcer of policy parameters.
  • Excellent written and verbal communication skills.
  • Proactive and solution oriented.
  • Comfortable working in a fast-paced, mission-driven environment.
  • Strong interpersonal skills and donor-facing professionalism.
  • Ability to manage deadlines.
  • Alignment with SANCCOB’s mission, vision, and values.
  • At least 2 years’ working experience with a proven record of strong administrative skills.
  • A valid driver’s licence.
  • Computer literate (Microsoft Office package).
  • Only open to South African residents and/or individuals with valid work permits.
  • Matriculation certificate (Grade 12) essential.
