Description
This role is responsible for monitoring adherence to Distribution Centre processes and procedures to ensure accurate stock holding, while providing vital administrative support to the Warehouse & Logistics Manager. In short: you’ll help keep the wheels turning, the stock balanced, and the operation running like a well-oiled forklift.

What You’ll Be Doing:

Distribution Administration

Review route planning with Route Planners to ensure optimal vehicle allocation and on-time delivery
Prioritise warehouse picking loads and issue trip sheets and work instructions
Support carryover management and communicate driver feedback
Assist with delivery schedule communication to customers and Sales Consultants
Arrange accommodation for delivery teams (sleep-outs)
Maintain accurate administration and filing systems
Returns Administration

Monitor returns processes, resolve concerns, and escalate where necessary
Oversee claims administration, including investigations, credit notes (RMAs), collections, and storage
Confirm damaged stock for disposal with appropriate approvals
Investigate root causes of claims and implement preventative solutions
Administer return loads to head office or designated locations
Stock Management

Communicate out-of-stocks and overstock situations
Enforce best practices (FEFO, batch control, scanning discipline, stock rotation)
Conduct spot checks, cycle counts, and assist with full stock counts
Investigate variances and implement operational improvements
Support mock recalls and ensure full traceability
Plan warehouse space utilisation and communicate constraints
Audit stocktake processes and monitor stock movement discipline
Reconcile and control CHEP pallets per SLA requirements
Drive continuous improvement initiatives within the warehouse team
General Administration

Complete credit card and petty cash reconciliations where required
Assist with fleet maintenance arrangements when needed
Compile daily, weekly, and monthly reports
Support the Warehouse & Logistics Manager with ad hoc tasks and improvement projects

Requirements
What We Are Looking For:

Grade 12 (NQF Level 4) is a must
Diploma in Accounting, Business Administration, or Warehouse Management (NQF Level 6) or equivalent will score you extra points
Valid Driver’s Licence (Code B)
Forklift Licence (Counter-Balanced Lift Truck) will score you even more points
2–3 years’ stock control and administrative experience, preferably within an FMCG warehouse environment
Proficiency in MS Office
Someone with accuracy, attention to detail, an analytical thinker and problem solver
With knowledge of Stock management principles and procedures, Logistics and warehousing operations, Systems such as TMS, ERP, and CHEP platforms and basic accounting principles
