Job Overview

Broll Property Group is hiring a Receptionist / Administrator to support lease administration, reception operations, and property facilities management at NorthPark Mall. This role combines front-desk professionalism with strong administrative and property coordination skills.


What You’ll Do

Reception & Switchboard

  • Manage a high-volume switchboard professionally and efficiently
  • Greet and direct visitors, tenants, contractors, and clients
  • Handle enquiries, messages, courier, and post
  • Manage reception, boardroom, and front-office operations

Lease & Property Administration

  • Prepare, amend, renew, cancel, and archive lease agreements
  • Process lease fees, deposits, bank guarantees, and reconciliations
  • Maintain accurate tenant, vacancy, and lease movement registers
  • Upload documentation to internal systems and prepare leasing reports
  • Assist with FICA documentation, credit checks, and tenant onboarding

Tenant & Broker Liaison

  • Coordinate tenant applications and approvals
  • Communicate acceptances/declines within 24 hours
  • Liaise with brokers, contractors, and utility providers
  • Handle tenant correspondence, complaints, and follow-ups

Reporting & Support

  • Compile monthly leasing, vacancy, and management reports
  • Assist with budgets, audits, and executive summaries
  • Support portfolio and leasing managers as required

Requirements

  • Matric (Grade 12) – required
  • Property management or maintenance training – advantageous
  • Strong understanding of legal leases and basic accounting
  • Knowledge of property management procedures and service contracts

Experience

  • 5+ years relevant administrative/property experience
  • 2+ years supervisory experience – preferred
