Job Purpose
The Receptionist is the first point of contact for iConnect. This role involves answering and directing calls, managing the front office, greeting visitors, and ensuring a professional, welcoming environment. Additionally, the Receptionist will manage customer queries across all social media platforms to ensure a seamless customer experience.
Key Responsibilities
Answering and Directing Calls:
Handle all incoming calls promptly and professionally.
Direct calls to the appropriate department or individual as needed.
Take detailed messages when necessary and ensure prompt follow-up.
Front Office Management:
Greet and assist visitors with a welcoming and professional attitude.
Ensure the reception area is neat, organized, and presentable at all times.
Coordinate with the security team to manage visitor sign-ins and access.
Maintain and manage schedules for meeting rooms and shared spaces.
Social Media Customer Queries:
Monitor and respond to customer queries on iConnect’s social media platforms in a timely and professional manner.
Escalate any complex or urgent queries to the appropriate teams for resolution.
Provide accurate and helpful information to enhance customer satisfaction.
Administrative Support:
Assist with general administrative duties as required by management.
Manage incoming and outgoing mail, parcels, and deliveries.
Keep track of office supplies and coordinate replenishment when necessary.
Skills & Qualifications
Proven experience as a receptionist or similar role.
Strong telephone handling skills with excellent communication and interpersonal abilities.
Ability to manage multiple tasks and work in a fast-paced environment.
Competency in using social media platforms for customer service.
Familiarity with office management systems and procedures.
Proficiency in MS Office (Word, Excel, and Outlook).
A friendly and approachable demeanor with strong customer service skills.
Education & Experience
High school diploma or equivalent.
2+ years of experience in a reception or customer service role.
Experience in handling social media queries is an advantage.
