Role Clarification & Key Performance Areas

UWC’s Information and Communication Services (ICS) has embarked on an exciting journey of change and transformation, playing a pivotal role in delivering ICT services that enable and support the University’s strategic objectives.

Reporting to the Coordinator: ICS Operations, the successful candidate will assist to drive operational excellence by working with the ICS Coordinators and the ICS Senior Leadership Team. Applications are invited for this permanent position.

Core Responsibilities Include

Office and diary management
Coordinating a wide variety of activities for the Director and Senior Managers
Handling of office correspondence
Internal and external client liaison
Assistance with budget administration
Meeting, event and workshops co-ordination
Developing and maintaining systems to support information management and preparation for meetings
Administering institutional commitments on behalf of the Director and the ICS Senior Leadership team
Ensuring an efficient filing system
Maintaining a high level of confidentiality
Minute taking at committees and other meetings
Working closely with the departmental coordinators and administrators
Supporting the Coordinator: ICS Operations with any special projects initiating from the Director’s office
Managing and administering the ICS Staff Data Process

Minimum Requirements

NQF 5 level certificate or equivalent / Diploma in an administrative field or equivalent domain
At least 3 years administrative experience
Strong computer literacy skills and demonstrable working knowledge of Microsoft Office as well as business processes and related systems

Advantageous Requirements

Proven secretarial experience

Competencies

Demonstrated communicative, organizational, and interpersonal skills,
Ability to work efficiently under pressure and without supervision,
Strong Computer literacy skills and demonstrable working knowledge of the Microsoft Office as well as business processes and related systems,
Ability to demonstrate strong competency in products like Microsoft Word, Microsoft Excel, Adobe Acrobat Tools, and Business Systems like Smartsheet and InforLN will be advantageous and will receive preference.
